Fragrance Vending Machine Installation Checklist for Venue Managers

· Yw

A venue should not schedule a fragrance vending machine installation until it has confirmed the exact unit, delivery route, approved location, power and connectivity, accessible customer approach, service access, payment setup, product format, and handoff owner. On installation day, verify the machine against the order, test every configured customer flow, and document who responds to faults. A machine that fits the wall on paper is not necessarily ready for guests or residents.

This checklist is for hotel operators, apartment managers, salon owners, and retail teams coordinating a purchase. It is a planning aid—not an installation manual, promise of delivery timing, or determination of code compliance. Obtain the seller’s instructions and qualified property approvals for your actual configuration and location.

Quick answer: Treat the project as three gates: pre-delivery approval, safe installation, and operational acceptance. Do not open the machine to customers until all three are documented.

Start With the Exact Model and Quote

The current LuxScents public listings show three formats, checked September 14, 2026:

| Model | Listed price | Listed dimensions | Display | Payments | | --- | ---: | --- | --- | --- | | Classic | $2,500 | 73 × 41 × 22.5 cm | 10.1-inch touchscreen | Cash and card | | Premium | $3,500 | 73 × 41 × 22.5 cm, plus 43-inch display | 43-inch digital display | Cash, card, contactless | | Elite | $4,200 | 175 × 60 × 22 cm | 21.5-inch touchscreen | Cashless, NFC, QR code |

Sources: live Shopify listings for Classic, Premium, and Elite. Each specifies five fragrance slots, capacity of up to 750 sprays per bottle, and AC power. Shopify’s purchase data marks all three variants available, but Elite’s written description says out of stock. Confirm its availability directly before setting a date.

Match the quote to the planned unit: model, color, output format, payment hardware, branding, optional monitoring, and any included or separately priced work. The public descriptions do not establish the full terms of an order. The model comparison guide helps shortlist features, while the signed quote should control what is actually supplied.

Gate 1: Pre-Delivery Approval

Request both installed and packaged dimensions

Ask for a drawing that labels height, width, depth, display projection, base, readers, power entry, and service-door swing. The three figures on a product page do not specify their orientation. Premium’s cabinet measurement explicitly excludes its 43-inch display, so do not infer that it needs the same complete envelope as Classic.

Packaged dimensions and weight may differ from installed dimensions. Request them rather than using the public cabinet figures to plan freight or elevator access. Our floor-space planning guide gives a fuller measurement worksheet.

Walk the complete delivery route

Measure loading access, doors, corridors, elevator interior and opening, turns, thresholds, and the final room. Identify any booking, security, building-management, lift, or protective-flooring requirements. Ask who unloads, moves, unpacks, and removes packaging. Do not assume inside delivery or setup is included unless the order says so.

Use the packaged unit’s confirmed dimensions and the supplier’s handling instructions. A route that fits an unpacked cabinet may not fit the shipment.

Approve the permanent location

Mark the complete machine envelope on the floor and wall. Add a customer standing at the interface and every open service panel. Test during the venue’s busy periods: check-in at a hotel, package activity at an apartment building, appointment changes at a salon, or a retail queue.

The U.S. Department of Justice’s 2010 ADA Standards for Accessible Design address vending machines and their operable parts, clear floor space, reach, and accessible routes. OSHA’s exit-route standard requires workplace exit routes to remain free and unobstructed. Have the property’s accessibility, facilities, and life-safety professionals determine applicable requirements at the specific site; this checklist does not certify compliance.

Reject a site that blocks doors, elevator controls, fire equipment, signs, circulation, mailboxes, or the area another person needs to use the machine. The hotel lobby placement guide illustrates a traffic-observation method that also applies to other venues.

Confirm electrical and network requirements

All three current LuxScents pages say AC-powered. They do not publish voltage, plug, current draw, circuit requirements, networking method, or outage behavior. Ask for the exact configuration’s specifications and have the qualified property professional approve outlet, circuit, cable protection, and any permitted work. Do not run a loose cord across a walking route.

If payment authorization, display content, or monitoring depends on connectivity, confirm who supplies the connection, how it is provisioned, and what customers see during an interruption. The public product descriptions do not answer those questions.

Gate 2: Installation-Day Verification

Inspect the shipment before accepting it

Have an authorized venue contact present. Compare the delivered model and option list to the order. Follow the seller and carrier’s documentation process for visible damage, missing parts, or an incorrect unit. Record serial numbers and photographs as permitted by the agreement. Do not claim a remedy or deadline that the contract does not provide.

Confirm that any anchoring, leveling, or wall attachment follows the manufacturer’s instructions and property approval. The public pages do not specify an anchoring method. Do not improvise one from a generic vending-machine guide.

Recheck the location after the unit is in place

The real machine may differ from a taped rectangle because of projections, screen, cords, door movement, and customer posture. Recheck normal and peak circulation, accessible approach, exits, sightlines, and service openings with the unit in its operating position. Verify that furniture and future event layouts will not erase the approved clearance.

Confirm the product format and assortment

Classic’s live description says it dispenses sprays or vials. Premium and Elite descriptions list fragrance slots and bottle capacity but do not specify the customer output in the same terms. Confirm exactly what the purchased configuration dispenses, which bottles or consumables fit, who supplies them, and how each of the five slots maps to the displayed selection.

Use legitimately sourced, accurately represented products. Do not advertise a fragrance as available if the corresponding slot is empty. If the business decants, repackages, imports, or sells under its own label, review the relevant obligations before launch; see our fragrance vending licensing guide.

Gate 3: Customer-Flow Acceptance

Test the machine as a first-time customer, not only from a technician’s menu.

  1. Read the screen from the normal approach position.
  2. Select each configured product and verify its displayed name and price.
  3. Test a controlled dispense for every enabled output and document the result.
  4. Test every enabled payment method using an approved procedure.
  5. Check the receipt or transaction record, refund path, and error messaging.
  6. Verify that unsuccessful attempts do not create a confusing duplicate charge.
  7. Check display, lighting, language, and branding against the order.
  8. Confirm what happens during an authorized connectivity or power interruption test, if supported by the seller.

Do not conduct live customer transactions before the merchant account and processor are ready. The public pages list payment types but not processing rates, supported wallets, settlement, or refund rules. The payment-method guide lists questions for the processor and seller.

The PCI Security Standards Council’s merchant resources recommend payment-terminal inspection and clear vendor contacts. Assign the local inspection and escalation responsibility for the actual hardware and follow the processor’s requirements.

Hand Off an Operating Runbook

Before the installer leaves or the machine is opened, record:

  • the model, configuration, serial number, and order documents;
  • approved operating location and service access;
  • responsible staff roles and authorized vendor contacts;
  • opening inspection and cleaning instructions;
  • refill and selection-change procedure;
  • cash collection and reconciliation, if applicable;
  • payment fault, failed-dispense, and refund escalation;
  • connectivity or outage procedure;
  • warranty, support, repair, and parts terms; and
  • who can change screen content or prices.

Do not invent maintenance intervals. Use the instructions for the actual machine, then adjust venue checks based on observed conditions. A visually unattended sales point still needs a named operator.

A Go/No-Go Sign-Off Sheet

Use a simple record with the status, owner, and evidence for each item:

| Check | Status | Owner / evidence | | --- | --- | --- | | Correct model and options received | | | | Installed envelope and service access verified | | | | Accessible and exit routes reviewed | | | | Power and connectivity approved | | | | Every loaded selection dispenses correctly | | | | Enabled payments and refunds tested | | | | Staff runbook and escalation contacts assigned | | |

If a critical check fails, keep the machine unavailable to customers until the responsible party resolves it. Do not use a launch date as a reason to waive safety or payment testing.

The Bottom Line

The installation is complete only when the physical location, product flow, payment flow, and staff handoff are verified for the exact machine. Confirm details before delivery, inspect and test on site, and document unresolved items before opening to customers.

Frequently Asked Questions

What should a venue prepare before a fragrance vending machine arrives?

Confirm the exact configuration, installed and packaged dimensions, delivery route, approved placement, power and connectivity, accessible customer approach, service space, payment setup, and who will accept the unit.

Does a LuxScents machine need special wiring?

Current LuxScents listings say all three models are AC-powered but do not specify voltage, circuit, plug, or installation requirements. Get the exact requirements and have the property’s qualified electrical professional assess the site.

How much space should be left around a fragrance machine?

The listed cabinet dimensions alone are insufficient. Confirm the complete installed envelope and service openings, then preserve the customer approach, accessible routes, doors, circulation, and exit routes required at that specific site.

What should be tested before the machine opens to customers?

Test the interface, each configured fragrance selection and dispense, all enabled payment types, receipts or refund procedure, connectivity, lighting or display, safety of cable routing, and the staff escalation process.

Is LuxScents Elite available for an installation date?

Shopify currently marks Elite’s variant available while its written description says out of stock. Confirm the exact unit and timing directly before scheduling contractors, delivery, or a launch.
